How far in advance should you organise a trip with friends?
4 to 6 months before
Settle the dates and destination
Put two or three options to a vote and set a deadline. Without a firm decision at this stage, the plan gets bogged down and people's availability vanishes.
3 months before
Book transport and accommodation
Book the accommodation first, as it sets the number of places. Agree a simple rule in case someone drops out after booking.
1 month before
Sketch out the itinerary
List the activities that need booking, leave some half-days free and share out the roles: who handles the cars, the food shopping, the restaurant bookings.
7 days before
Tie up the logistics
Check ID documents and insurance, organise carpooling to the airport or the destination, and share the accommodation address and everyone's arrival times.

Settle up
Enter the last expenses within the week, let the calculation cut down the number of transfers, and gather everyone's photos in the album.
