Organising a birthday means settling on a date that suits as many people as possible, finding a venue, sending out invitations, sorting the food and the cake, and often coordinating a joint gift. The hardest part isn't the party itself: it's the replies that drag on and the secret you have to keep if it's a surprise. Bringing everything together in one place (guests, gift and schedule) saves you chasing people and avoids slip-ups in group chats.
How far in advance should you organise a birthday?
4 to 6 weeks before
Choose the date and the format
Quietly sound out the people who simply have to be there, then settle on a date. Decide on the format: dinner at home, a hired room, a restaurant or a surprise party with an accomplice.
3 weeks before
Send the invitations
Share the invitation link and ask for a clear answer. For a surprise party, switch on surprise mode before you add anyone at all to the event.
2 weeks before
Get the joint gift going
Gather ideas, let guests vote, then share the group fund link. Set a deadline so the gift isn't bought the night before.
3 days before
Sort the food, cake and decorations
Settle the final headcount, order or bake the cake, and share out drinks and dishes. Chase anyone who still hasn't replied.
The day after
Share photos and thank-yous
Gather every guest's photos in the shared album and thank those who chipped in for the gift, while the party is still fresh in everyone's mind.
